AI agents that take work off your hands

Work that comes back every day and asks for judgement, you set up once.

What is an AI agent?

An AI agent does a task that involves reading, assessing or writing, such as assessing an enquiry or drafting a reply. It puts it in front of you, or does it itself if you want it to. It works with its own instructions and only the sources you give it.

  • 13departments — where the work sits

You set the limit

For each task you choose. Bring it to you first, or do it itself. Replies to this customer go out straight away; replies to new customers come to you first.

Only the sources you give it. An agent sees nothing outside the integrations and documents you have assigned to it.

You decide

Every run readable afterwards. What went in, what came out, step by step.

Started by you or by an automation. At a fixed time, on a new mail, or with one click.

Every agent follows your Company Brain. What your rules say about discounts, tone or approval applies to the agent too.

Agent or automation?

Fixed steps

Automation

If this happens, do that. Predictable, the same every time.

  1. Invoice arrives
  2. Read it
  3. Into the dossier
  4. Up for approval
Judgement needed

Agent

The agent weighs it up; you decide.

Read this mailbox and say what needs attention.
Answer this enquiry in our tone.

For each task you decide whether it brings it to you first.

The two work together: an automation can start an agent, and an agent can hand its work over to an automation.

This is how you ask for it in the Studio
“Every morning at 07:30, prepare a summary of the shared mailbox, sorted by urgency, and mark anything about outstanding invoices.”

The agent is running in two minutes.

Start with one AI agent

Choose one task that comes back every day, such as preparing purchase invoices or following up quotes. You do not pay per agent. If you want an automation or an app later, it is already included.

Part of Altramano

AI agents are one part of your workspace.

In the same place you ask the Studio for things, your automations run and you build apps. Everything works with your Company Brain and with the systems you already have.

Start with what you need now. The rest is already included.

10 AI agents
Purchase invoice processorReads the purchase invoices in your mailbox and sets them up in your accounting package, for approval.
What it does
  • Picks every purchase invoice out of the mailbox, even as an attachment in a forwarded mail.
  • Reads supplier, invoice number, amount and VAT and puts them in the file.
  • Sets the invoice up in Exact, Visma, AFAS, SnelStart, e-Boekhouden, Twinfield and more.
By default you approve every invoice before it is booked. If you want invoices under a certain amount to go through by themselves, for example under €1,000, you set that limit yourself. A deviation always goes to the top of the list.
See the purchase invoice processor
Receivables monitorFollows your outstanding items, sends reminders in your tone and reports who does not respond.
What it does
  • Pulls the outstanding items per customer from your accounting package every week.
  • Prepares a friendly reminder for an invoice past its due date, in your words.
  • Sends a second reminder after a period you decide.
Every reminder waits for approval before it goes out. You can also let the first reminder go by itself.
See the receivables monitor
Bank reconcilerMatches incoming bank transactions to the right invoices and puts only the deviations in front of you.
What it does
  • Reads the new bank transactions and looks up the matching invoice by number, amount and name.
  • Matches a payment that fits exactly and sets it up in your accounting package.
  • Puts forward a payment that does not fit: a different amount, a partial payment, an unknown sender.
A payment that fits exactly it matches itself; every deviation waits for your approval.
See the bank reconciler
Expense checkerChecks your employees' receipts against your rules and sets them up for payment.
What it does
  • Reads every receipt an employee submits: amount, date, VAT and what was bought.
  • Tests it against your rules, such as a maximum per meal or a mandatory project code.
  • Sets an approved expense claim up in your accounts and tells the employee it is on its way.
You approve every claim before it is paid out; what falls within the rules is already on green.
See the expense checker
VAT preparerPrepares the quarterly VAT overview and the deviations for your bookkeeper; the return itself it does not file.
What it does
  • Pulls the quarter's turnover and input tax from your accounting package.
  • Puts the VAT amounts next to the invoices and marks what deviates, such as a wrong rate.
  • Lists missing invoices and unclear bookings with a question.
You or your bookkeeper checks the overview. The return itself is filed by a person, never by the agent.
See the VAT preparer
Sales invoice makerCreates the sales invoice as soon as a job is finished or the hours are approved, and sets it up for sending.
What it does
  • Sees that a job has been finished or that a period of hours has been approved.

See the sales invoice maker
Cash flow monitorGives you a weekly overview of what is coming in and going out, and warns in time when it gets tight.

  • Reads the outstanding sales and purchase invoices and their due dates.
  • Puts the fixed costs you have entered next to them, such as rent, salaries and subscriptions.
  • Makes an overview of the next six weeks: what you expect to receive and to pay.
It sends nothing out and books nothing; the overview is for you. You decide what to do with it.
See the cash flow monitor
Payment run preparerPrepares a payment run on the due date with every purchase invoice that is due, for approval.
What it does
  • Looks every day at which approved purchase invoices fall due within the chosen days.
  • Puts them together in a payment proposal, with supplier, amount and due date.
  • Keeps invoices apart where something is wrong: a dispute, a credit note still to come.
You approve the payment proposal. The payment itself you make in your bank or your accounting package; the agent pays nothing.
See the payment run preparer
E-invoice preparerPrepares your sales invoices in e-invoice format and reads incoming e-invoices, ready for the European rules of 2030.
What it does
  • Converts a sales invoice from your accounting package into the e-invoice format UBL.
  • Checks that all mandatory fields are there, such as VAT number and reference.
  • Reads an incoming e-invoice and sets it up as a purchase invoice.

What it does
  • Listens to the objection a customer raised, in your words.
  • Gives three ways to respond, fitting your offer and tone.

  • Puts every requirement in a list, with where it is and whether it is a knock-out.

Frequently asked questions

Can an agent send or book things itself?

Only if you allow it, and by default everything that goes out is set to "approve first". You set the limit: what falls within it, the agent does itself; what falls outside it comes to you first. Every run can be read back afterwards.

Which data does an agent see?

Only the integrations and documents you have given that agent. An agent for the mailbox does not see your books, unless you add them. You arrange that per agent, and it is shown alongside.

Which AI supplier does the agent use?

Altramano works with more than ten AI providers. We choose the model that suits each task, or you decide which models may be used. If the data has to stay in the EU, Altramano only uses providers that process in the EU. You see the usage per agent.

How many agents can I make?

As many as you like. In practice a company starts with two or three — the morning summary, the enquiries, the minutes — and grows from there.

Does our administrator lose work because of this?

No. An agent does the tasks that come back every day: retyping, forwarding, looking things up, reminding. The work that asks for judgement — speaking to a customer, tracking down a discrepancy, weighing up an exception — stays people's work, and there is more time for it. In practice the work shifts from entering to checking: someone approves what the agent has prepared. That is why training belongs with it.
