Data entry agent
Puts data from PDFs, forms and photos into your system, so nobody has to retype it any more.
Saves, estimated: ± 3 hours a week
Data entry agent is an AI agent from Altramano for daily work. An AI agent does a task that involves reading, assessing or writing, such as assessing an enquiry or drafting a reply. It puts it in front of you, or does it itself if you want it to.
What it does
- Reads a PDF, a completed form or a photo of a document.
- Picks out the data you name: name, address, amount, date, number.
- Puts it in the table or the system you point to.
- Marks what it is not sure of, so you only need to check that.
An example
- In
- Thirty completed registration forms as PDF, scanned.
- Out
- Thirty rows in your table, three of them with a marked field you check briefly.
Integrations it uses
Google SheetsRead, add and update rows in Google Sheets, with a trigger on a new row.
Microsoft Excel 365Read and update rows and tables in Excel files on OneDrive or SharePoint.
AirtableRead, create and update rows in Airtable tables, with triggers on new or changed rows.
GmailFind, send and answer mail in Gmail, with a trigger on new mail.
Microsoft OutlookFind, send, answer and draft mail in Outlook and pull attachments, with a trigger on new mail.
Google DriveRead, upload and move files and folders in Google Drive, with a trigger on a new file.
Where the limit lies
You choose whether it may write in the table itself or set up for checking first. What it is not sure of is always marked.
Templates it bundles
| Sjabloon | Soort | What it does |
|---|---|---|
| Attachments from mail to a folder | automation | Every attachment arriving in your mailbox is put into a folder on OneDrive by itself. |
| Compare two files | automation | Mail two files (old and new) and get the differences back: new, gone, changed. |
Frequently asked questions
Does it read handwriting?
Neatly written block capitals usually, yes. What it does not read with certainty, it marks.
Can it write in my accounting package too?
For invoices there is the Purchase invoice processor. This agent is for tables and forms.
What if the layout differs per document?
That is no problem. It looks for the data, not the place on the page.
