AI chatbot, integration platform or AI workspace: what is the difference?
A chatbot answers questions, an integration platform moves data, an AI workspace does both. The three side by side, with when you need which.

An AI chatbot answers questions, an integration platform moves data between systems, and an AI workspace does both: it reads what comes in, decides what should happen to it and puts it ready in your own systems. The difference lies in who does the work when you are not looking.

What exactly does an AI chatbot do?
An AI chatbot is a conversation. You type a question, an answer comes back. ChatGPT, Claude and Copilot work that way. They are strong on language: summarising, rewriting, explaining, translating, drafting.
What they do not do is put something into your books. A chatbot can write a fine quote, but it does not know what your previous quote to that customer was, it does not put it into your CRM and it does not send it. You remain the link between the answer and the system.
That is fine for work you do yourself anyway. It becomes expensive as soon as the same conversation comes back every day.
What does an integration platform do?
An integration platform connects systems to each other. When an order comes into your webshop, the platform creates an entry in your books. Zapier and Make are the best-known names here.
A platform like that is fast and reliable for work with fixed rules: if this, then that. It stops as soon as judgement is needed. A supplier who lays their invoice out differently from last month, a mail where the date is in the text and not in a field, a complaint that is really an order — a rule gets stuck there.
So what is an AI workspace?
An AI workspace combines the two. It reads what comes in the way a chatbot can, and it files it in your systems the way an integration platform does. The difference from both is that there is a judgement in between.
An example from the installation trade. A work order comes in by mail. The workspace reads it, pulls out the address, the customer, the fault and the requested date, puts them into the planning and gives the planner a nudge. If the address is incomplete in the mail, the order goes into a list with a request to look at it — it invents nothing.

The practical rule of thumb: if you do the work yourself and want to do it faster, take a chatbot. If your steps are always the same and everything is already neatly in fields, take an integration platform. If there is text in it, if post comes in, and if someone has to look at it now and then — then you need a workspace.
Can I not just use them alongside each other?
Yes, and many companies do. A chatbot for the owner's writing, a workspace for what comes back every day.
Watch out for one thing though: every separate subscription is its own login, its own processing agreement and its own place where your data sits. Three handy helpers can together create more administration than they take away. That is the reason we put everything in one environment.
Frequently asked questions
Is an AI workspace not just an expensive integration platform?
No, because an integration platform cannot read. As soon as the information sits in a mail, a PDF or a free remark instead of in a field, a rule stops. That is exactly the work that is done by hand today.
Can I keep my existing integrations?
Yes. If something is already running in Zapier or Make that works well, there is no reason to rebuild it. We look at the work that is left over.
Does an AI workspace work with the systems we already have?
There are more than 700 integrations, including Microsoft 365, Google Workspace, Visma eAccounting, Exact Online, Basecone and AFAS Profit. If your system is not among them, we look at whether it is possible.
